The Business Office Manager is responsible for the organization’s internal business processes including accounts payable, employee payroll, vendor contracts, and record management. The Manager contributes to the company’s financial soundness and success by overseeing day-to-day operational and administrative procedures, ensuring that target dates are met, and processes run efficiently. 

The Business Office Manager's responsibilities include the following:

  • Completes employee payroll in timely manner including reconciliation of hours, verification of timesheets, bonuses, and resolving pay discrepancy reports. Communicates with staff and/or corporate office regarding any payroll issues that arise.
  • Compiles, tracks, and submits AR invoices for vendor purchases and services provided to organization.  Ensures that accuracy and timeliness requirements are met.
  • Negotiates and manages vendor contracts to maintain cost-effectiveness and quality of services provided.
  • Establishes par levels for office supplies; Ensures supplies are ordered and available for staff use as needed to support daily operations.
  • Manages purchase-order requests and tracks invoices to ensure delivery of ordered items.
  • Works with CEO to draft Capital Expense (Capex) Requests when needed.
  • Reconciles month end operating reports.
  • Leads and optimizes office processes and procedures to enhance overall efficiency and productivity within assigned areas.
  • Supports Executive Team with tracking budgeted expenses including the completion of mid-month expense projections.
  • Supports leaders across departments with resolving Kronos issues, missed punches, overtime reports, and management of FTEs.
  • Assist department heads and/or corporate office with responding to employee-related questions related to payroll, time off, or Kronos access concerns.
  • Assist department heads with any questions or problems regarding the budget, check requests, supply ordering, policies, etc.
  • Assist corporate office with processing check requests, managing petty cash & credit card receipts, etc.
  • Financial Counseling role includes verifying benefits and eligibility on admission inquiries, preparing admission folders, collecting co-pays/deductibles from patients, assisting with establishing effective and timely payment plans, coordinating with utilization review and discharge planning efforts to limit risk of non-payment, providing ongoing patient benefit information, participating in patient discharge procedures, and coordinating financial arrangements with collection personnel.

Qualified candidates for Business Office Manager should have the following:

  • Minimum 2 years in Healthcare Administration, Business, Finance, or related field required. Bachelor’s level degree preferred.
  • Previous experience with Kronos and proficient with MicroSoft Office preferred.
  • Notary Public or meet requirements to become a Notary Public within first year of employment.  
  • Excellent communication skills.
